Get an actionable overview of your CRM in 4 easy steps

How does it work?

Step 1 - Connect your CRM to Ocean.io:

Click on the top right corner logo

You will land on this page:



Choose the CRM (Hubspot, Pipedrive, Salesforce) you are working with and click “Settings”:

Click “Install now”:

Map out the different fields according to your needs:


We look at all your deals across all your pipelines and stages but, if you have a pipeline/stage specifically for “lost” or “won” deals, just indicate it at this stage.



We’re almost there!

Chose the Pipeline stage you want your prospects to be exported to:

The last step is to choose the user and click on finish.

Tadaaaaa!


Now we can get to the good stuff. You are ready to run a detailed data analysis on your CRM, with Ocean.io.


Step 2 - Run the analysis of your CRM

Click on the indicated icon and to access all this new information and insight from your CRM.


Depending on the size of your CRM, it could take up to 5 minutes for the analysis to be ready.

There might just be enough time to make yourself a coffee while you wait, if you like.



Step 3 - Explore the results

There you go!

Let’s take it to the next level now and create different industry segments based on the companies in your CRM. Click on “Customer Segments”:

Here we go! We segmented all the companies in the CRM.


Beautiful! But what do we actually mean when we say a "segment"?

Very good question!

A segment contains a certain amount of companies present in the CRM which have been tagged with the same tag(s).

Example: Segment #8: 837 companies out of the total 7336 companies present in the CRM were tagged as “Media and Entertainment”.



As you can see, 289 segments were created out of 7336 companies in a CRM.

Not bad for something that took 2 minutes, right?

Alright it’s nice to have segments but what can one actually do with that information?

Another great question!

It’s actually not finished. Click on the indicated button to get even more insights on your CRM!

This button will allow you to include the transactional data information (which you most probably have filled out in your CRM), such as:

  • Won/Lost ratio
  • Average deal size per segment
  • Average time to close per segment

So this is how the segments should be looking now:

Now you can see your best performing segments, allowing you to focus your time and resources on the companies that are most likely to pay for your product or services.

You might have thought that we would be done here but we aren't.

There is another step we think you might be interested in...


Step 4 - Make a list with new prospects

Click on the button “Generate leads” indicated by the red arrow.

Get access to companies which have been tagged with the same tags as your segment but are not present in your CRM (yet).


By clicking on the top left corner icon you will also get access to our filters, allowing to refine your search even further according to your needs.


Select all your qualified free leads by clicking the box next to the company.

You can click on shift to select multiple options.


Everything should be selected – see the blue check?


Click “Add to List

Select “Default List” or create a new list, then click “Add”.

You’ll see, “Prospects successfully added

Woohoo! Getting there!

Go to the top and click the icon that looks like a bookmark button:

Select “All lists” and then click “Default list” or on the list you newly created:

Almost there...

Click on “Export all to Pipedrive”.


If you want all the contact associated with each company added to your CRM tick the box, else just click “Export


There we go!

All this data will end up in the CRM pipeline of your choice!!!
